Health and Safety Policy
1. Purpose
This policy outlines how we ensure the health, safety and welfare of pupils, staff, tutors, parents and visitors involved in our Alternative Provision. It establishes clear procedures to prevent accidents, manage risk and maintain safe learning environments.
2. Principles
The organisation has a duty to safeguard the health and safety of everyone involved in its activities.
Risks are identified, assessed and controlled.
Safe working practices are followed at all times.
Staff receive appropriate guidance and training.
All incidents, hazards and concerns are reported promptly.
3. Responsibilities
3.1 Organisation
We will:
Maintain health and safety arrangements appropriate to all delivery settings, including homes and community environments.
Provide clear risk assessments and safe working procedures.
Ensure staff receive relevant training, including safeguarding, first aid and risk management.
Review policies and practices regularly.
3.2 Staff and Tutors
Tutors must:
Take reasonable care for their own safety and that of pupils.
Follow organisational risk assessments and procedures.
Assess the safety of each learning environment before beginning a session.
Report hazards, incidents or near-misses immediately.
Use equipment safely and appropriately.
Ensure pupils are supervised and supported according to their needs.
3.3 Parents and Carers
Parents and carers must:
Provide a safe and appropriate space for home-based sessions.
Inform staff of any household risks, pets, restrictions or hazards.
Ensure pupils are fit to participate in sessions.
Share relevant medical or behavioural information needed to keep the pupil safe.
4. Risk Assessment
Risk assessments are carried out for home settings, community sessions, online delivery, and any off-site activity.
Individual risk assessments are created for pupils where needed (e.g., behavioural or medical risk).
Staff must review risk assessments regularly and adapt sessions accordingly.
5. Safe Learning Environments
Tutors must ensure:
The area is free from hazards such as trailing wires, sharp objects or unsafe furniture.
Adequate lighting, ventilation and seating are available.
Distractions or unsafe conditions are minimised.
Emergency exits are known and accessible.
Equipment used is safe, appropriate and in good condition.
6. Lone Working
When tutors work alone:
Sessions must be pre-planned and logged with central staff.
The tutor must have a charged phone and know emergency procedures.
Any concerns about a home environment must be reported.
Tutors must not place themselves in unsafe or uncomfortable situations.
7. Off-Site and Community-Based Sessions
Locations must be assessed for suitability and safety.
Travel arrangements must be planned with consideration for risk.
The tutor must have access to emergency contact details.
Pupils must be supervised appropriately at all times.
8. Online Safety
During remote sessions:
Approved platforms must be used.
Tutors must ensure secure login and privacy settings.
The environment must remain appropriate and free from risks.
Safeguarding concerns arising online must be reported immediately.
9. Managing Accidents and Incidents
First aid should be administered by trained staff where appropriate.
Emergency services must be contacted when necessary.
Parents/carers and commissioning bodies must be informed of significant incidents.
All accidents, injuries, hazards and near-misses must be recorded accurately.
10. Fire Safety
For home or community sessions:
Tutors should identify fire exits upon arrival.
Sessions must not obstruct exits or pathways.
Tutors must follow the building’s fire procedures if applicable.
11. Infection Control
Good hygiene must be maintained during all sessions.
Handwashing or sanitising should occur before and after contact.
Tutors must stay home if unwell with potentially infectious illness.
Parents/carers must inform us of any contagious conditions in the household.
12. Equipment and Materials
Tutors must only use approved equipment.
Any faulty equipment must be reported and removed from use.
Hazardous materials must not be used in sessions.
13. Reporting Concerns
All staff must report:
Health and safety hazards
Unsafe environments
Injuries or near-misses
Behavioural concerns that may impact safety
Issues requiring changes to risk assessments
14. Monitoring and Review
Health and safety practices are monitored regularly by senior staff.
Risk assessments and procedures are updated in response to incidents, changes in provision or new guidance.
15. Review
This policy is reviewed annually or sooner if legislation, guidance or organisational needs change.
